3.1. What kind of data do we gather as part of the contractual relationship?
You must provide us with certain personal and relevant data when opening a customer account or entering into a contractual relationship. We use this data solely for performing services arising from the contractual relationship. In particular, the following data is gathered and processed: first name and surname, date of birth, registered address, address of the property for KIWI door entry services, first and surname of the owner (where necessary) together with the address and contact details, name, address, and contact details of the property management company (where necessary), telephone number, e-mail address, payment information (bank details, credit card details (where necessary), or PayPal account details, etc.), password and username, ID details (where necessary), and answers to your security questions (e.g. the question about your favorite holiday destination).
3.2. What kind of data do we gather and process for the purposes of using our door entry services?
When using the KIWI Ki or our KIWI App, the KIWI door unit checks whether the KIWI Ki or KIWI App you are using has access rights to the corresponding door. In the course of this data exchange, the KIWI Ki or KIWI App sends an encrypted temporary ID (effectively the key to the lock), which ultimately grants hands-free access and is not linked to your personal data. Furthermore, this door opening process in neither stored nor logged by us. When using our door entry services, however, we continuously store and process data on the current operating status of our technical equipment, which includes the KIWI Ki or KIWI App used by you. We gather and process this data solely for the purposes of providing our services, monitoring the system, and checking for instances of misuse. If you use our KIWI App for our door entry services, we log your location data. We use this data solely to guarantee the functionality of our door entry services. We do not store your location data.
3.3. What kind of data do we gather and process when you interact with us via the website or app?
When you visit our website, we store the IP address of your computer, the type of browser and request, the operating system used, the page accessed, the previously visited page, and the time of your request. We use this data to operate our website and especially for the purposes of rectifying faults and modifying and improving our systems to meet your needs, as well as for statistical purposes. The IP address is only stored while the website is being used. It is subsequently deleted or anonymized by shortening it.
When accessing your customer account, we may also gather and store additional actions of contractual relevance (e.g. the granting of access rights, KIWI Ki follow-up orders, changes to your customer data, notices of cancellation, e-mail correspondence with the support team, etc.) in order to meet all contractual obligations. The same applies when you contact us via other channels (e.g. by telephone, fax, or letter).
We also gather information on how you use our website by using so-called browser cookies, which are stored as text files on your end device and store certain settings and data to exchange with our system via your browser. Cookies allow our systems to identify the user’s end device and immediately make available any previous settings. Cookies help us to improve our website and enable us to offer you a better service.
Only the aforementioned data relating to the use of our website is stored in the cookies we use. This is done by assigning a cookie ID and not by allocating the data to you personally. The cookie ID is not merged with your personal data.

When using our chargeable services, we pass on the necessary billing information to the financial institution or credit card company handling the payment transaction. If proof of identity is required when concluding a contract and you choose the optional POSTIDENT identity check, we will relay the necessary personal data to Deutsche Post AG. Otherwise, identity checks will be performed by our employees, who may pass on your personal data to the relevant residents’ registration office for the purposes of making an enquiry, if necessary. Furthermore, your data may be passed onto any shipping company charged with the task of making any deliveries or any company charged with the task of installing the door unit, insofar as this is necessary for the delivery or installation of goods. When using our chargeable services, we will inform the property owner and/or property management company of the number of access rights being used by you, insofar as we receive a request for this information from the owner or property management company.
You have the option of registering with our partner company, Deutsche Post AG, for the E-Postbrief service via our website. If you make use of this option, we will pass on the necessary data (your first name and surname, date of birth, place of birth, address, and e-mail address) to Deutsche Post AG.
Depending on the usage agreement, you will receive free key insurance from Allianz Versicherungs-AG. We will pass on the necessary data (your first name and surname, address, date of birth, and Ki ID) to Allianz Versicherungs-AG so that you can benefit from this service.
Your data will not be passed onto anyone else without your express consent, unless we are entitled or duty-bound to do so in line with legal regulations and/or official or judicial instructions. This may be the case, for example, in the event of criminal investigations.
Our website incorporates so-called plug-ins from social networks, whose services are provided by the respective company (Facebook, Google+, Twitter). You can identify the plug-ins by the button used by each social media company, e.g. the “Like” or “Share” button from Facebook. Automatic data exchange takes place between our website and the website of the relevant social media network via your browser with the aid of the plug-ins embedded in our website. As such, when accessing our website, for example, the IP address is relayed to the social network, even if you are not a registered user there.
If you are a registered user of a social network and you access our website without having logged out of the social network beforehand, the social network can (as far as we are aware) assign your visit to our website to your account.
